Deliveries To Book
Shows List of Shipments at ‘Confirm on Board’ state/status ready for Delivery Booking.
To Book Deliveries
On the Dashboard, click “Deliveries To Book” Task Tile
You will be directed to the “To Book” screen
Use search Panel to filter deliveries. Type or select 1 or more criteria in the search fields e.g. vessel name, transport mode ETA From/To, container number, client, country of destination.
Click BOOK icon
beside the container number to show Booking details screen
Fill up all mandatory fields with required information which are ‘Delivery Ref’ & Booking Date/Time. Overflow DC/DC Address and Notes are optional, can be added/edited after booking.
Click BOOK button to complete the action.
Created Delivery Booking from this Task tile (“Deliveries To Book”) will be sent to "Planned Deliveries" and Deliveries Require POD and Customs” Task tiles.
Deliveries Require Confirmation
Created Delivery booking (from Client user) will be sent to Task tile “Deliveries Require Confirmation” for Approval.
To Approve/Confirm Booked Deliveries
On the Dashboard, click "Deliveries require Confirmation" Task Tile
You will be directed to the Confirmation screen
Click confirm icon
to show Delivery details where you can Accept or Reject Delivery Booking.Click corresponding button “Accept Delivery” or “Reject Delivery”
Add Seko Origin Office Ref (SRef) to Accept Delivery (only required if there is a SRef in the Shipment details)
Add Notes to Reject Delivery
Destination Agent can accept or reject the delivery booking.
If Destination rejected the booking, this container will go to Task tile "Deliveries To Reschedule" (for both Client and Destination Portals)
If Destination accepted the booking, this container will go to Task tile "Planned Deliveries" (for both Client and Destination Portals)
Destination Agent User that has been setup for delivery booking notification will receive a system generated email with a subject “Delivery To Confirm” once Client booked a delivery.
Client User that has been setup for delivery booking notification will receive a system generated email with a subject “Delivery Confirmed” once Destination Agent confirmed the delivery.
Client User that has been setup for delivery booking notification will receive a system generated email with a subject “Delivery Confirmation Declined” once Destination Agent rejected the delivery.
Planned Deliveries
After the destination agent reviewed the created booking details and Accepted/Confirmed,
deliveries will show on this Task Tile. This is where user can View and Print delivery details, and also Amend and Cancel Deliveries.
Icons on the Tool Grid
To Amend Booked Deliveries
Click Amend icon on the Tool Grid
Add new Booking Date and Time
Click “Amend Delivery” button
To Cancel Booked Deliveries
Click Cancel icon on the Tool Grid
Add Notes
Click “Cancel Delivery” button
Amended Deliveries will stay in the Task Tiles "Planned Deliveries" and "Deliveries require POD and Customs"
Cancelled Deliveries will fall to the Task Tile "Deliveries to Reschedule"
Deliveries To Reschedule
After the destination agent reviewed the booking details but REJECTED, deliveries will show on this Task Tile.
To Reschedule Deliveries
On the Dashboard, click "Deliveries To Reschedule" Task Tile
You will be directed to the To Reschedule screen
Click Calendar icon
on the Tool GridAdd Customs Clear and POD Date and Time (required)
Add Client Ref and Notes (optional)
Click “Book” button
Rescheduled delivery booking container will fall into:
Customer and Destination tiles "Planned Deliveries” - where the two users still has a chance to Amend or Cancel delivery booking.
Destination tiles “ Deliveries require POD and Customs”- where destination user can now add POD and customs details after completing this task Container status will mark as Delivered.
Deliveries Require Amend Confirmation
This Task TiIe will show list of Amended Delivery Booking from Client and needs confirmation.
Accept or Reject Amendment
Click the Task Tile to show the require confirmation screen
Click Amend icon
Check Booking Date and details.
Click “Accept Delivery” button then OK to confirm changes.
Click “Reject Delivery” button and Type Reason on “Notes” to decline changes.
Destination Agent User that has been setup for delivery booking notification will receive a system generated email with a subject “Delivery Planned Amended” from the Client.
If Destination Agent confirmed Amendment, Client will receive a system generated email with a subject “Delivery Amend Confirmed”.
If Destination Agent declined Amendment, Client will receive a system generated email with a subject “Delivery Amend Declined”.
Accepted Deliveries will fall into both customer and destination Task Tile "Planned Deliveries" and Destination Task tile "Deliveries require POD and Customs"
Rejected Deliveries will return to the Task Tile "Deliveries to Reschedule"
Deliveries Require Cancel Confirmation
This Task TiIe will show list of Cancelled Booking Request from Client that needs confirmation.
To Confirm Cancellation
Click the Task Tile to show the require confirmation screen
Click Cancel icon
Type Reason on “Notes”
Click “Confirm Cancel” button then OK to confirm cancellation
Destination Agent User that has been setup for delivery booking notification will receive a system generated email with a subject “Delivery Planned Cancelled” from Client
If Destination Agent confirmed Cancellation, Client will receive a system generated email with a subject “Delivery Cancel Confirmed”.
Canceled Deliveries will return to the Task Tile "Deliveries to Reschedule"
Deliveries Require POD & Customs
This will show all Accepted/Confirmed Container bookings to add POD and Customs Clearance Dates.
On the Dashboard, click "Deliveries Require POD & Customs" Task Tile
You will be directed to the below screen. It will show all Confirmed Container bookings and Rescheduled Bookings. Allows user to Print, Amend or Cancel Booking details.
To add POD and Customs Dates:
Click Calendar icon
on the Tool GridAdd Customs Clear and POD Date and Time (required)
Add Client Ref and Notes (optional)
Click “Submit” button
Once the POD and Customs details has been submitted, the Shipment state/status will be tagged as “Delivered”.
