Approvals

Navigate to Admin Menu → Approvals → Approval Rules

This menu is only visible to users with permission.

Any changes will only take effect for new Shipments and Approval requests.

Approval Rules Set Up

Manually Approve

This setting determines whether manual approval is required.

Require Manual Approval

  • Toggle “YES” to enable Manual Approval

  • Toggle “NO” to disable Manual Approval

Only one manual approval rule can be active for a specific client at a time.

Quantity Tolerances

  • This feature allows you to set specific thresholds for quantity tolerances and define approval processes to ensure standards are met.

  • The Approval rule for this is set for the Client per Transport Mode.

To add a new approval rule for quantity tolerances (either under or over a certain amount), you'll need to:

  1. Select an Approval Type: Choose either "Quantity Tolerance Under" or "Quantity Tolerance Over."

  2. Set Tolerance Values: Specify tolerance values for air, road, and sea shipments. At least one value must be greater than zero.

  3. Meet Validation Criteria: Ensure that the selected approval type isn't already active and that tolerance values are valid (non-negative and up to two decimal places).

  4. Click ADD button.

Managing Existing Approval Rules:

  • Viewing Active Rules: Quantity Tolerance grid shows all currently active approval rules.

  • Deleting Rules: If you have the necessary permissions, you can delete existing rules.

  • Updating Rules: You can modify existing rules by editing the tolerance values and saving the changes.

 

  • Quantity Tolerance Over (%) - If the line tolerance % is a positive number and is less than than the Quantity Tolerance Over Approval value set up for the relevant Client and Shipment transport mode, then this rule has passed (within tolerance).

Eg:

tolerance % =1%, Approval value = 2% passes validation

tolerance % = 6%, Approval value = 2% fails validation

  • Quantity Tolerance Under (%) - If the line tolerance % is a negative number and is greater than than the Quantity Tolerance Under Approval value set up for the relevant Client and Shipment transport mode, then this rule has passed (within tolerance).

Eg:

tolerance % = -1%, Approval value = -2% passes validation

tolerance % = -6%, Approval value = -2% fails validation

 

Unbooked PO Lines

This setting controls whether unbooked purchase order lines require approval.

Validate Unbooked PO Lines:

  • Toggle “YES” to enable unbooked PO lines to be approved before proceeding.

  • Toggle “NO” if unbooked PO lines can be processed without approval.

Only one validation rule can be active for a specific client at a time.

When enabled, this rule requires that whenever one line is assigned to a shipment for a given purchase order, then ALL lines from that purchase order must also be assigned

If one or more lines remain unassigned then this rule has failed

Unmatched PO Lines DC/Consignee Country

This setting controls whether unmatched PO Lines of DC and Consignee Country requires approval.

Validate Unmatched DC and Consignee Country:

  • Toggle “YES” to enable unmatched Country of the DC and Consignee to be approved before proceeding.

  • Toggle “NO” if unmatched PO lines country can be processed without approval.

Consignee Set Up

This feature allows you to set specific target dwell times for consignees and define approval processes to ensure timely deliveries.

The Approval rule for this is set for the Client per Consignee per Transport Mode per Container Mode.

Adding a New Required-by-Date Met Approval Rule:

To add a new approval rule for consignees based on their required-by dates, you'll need to:

  1. Select a Consignee: Choose a consignee from the list.

  2. Set Target Dwell Times: Specify target dwell times for air, road, and sea shipments. At least one value must be greater than zero for an enabled transport mode.

  3. Meet Validation Criteria: Ensure that the selected consignee doesn't have an active required-by-date rule and that the target dwell times are valid (positive integer values).

Managing Existing Required-by-Date Met Approval Rules:

  • Viewing Active Rules: The Target Dwell Times grid shows all currently active required-by-date rules for consignees.

  • Deleting Rules: If you have the necessary permissions, you can delete existing rules.

  • Updating Rules: You can modify existing rules by editing the target dwell times and saving the changes.

 

 

Container Utilisation

This feature allows you to set minimum CBM requirements for specific equipment types and define approval processes to optimize container utilization.

The Approval rule for this is set for the Client per Transport Mode per Container Size.

Adding a New Container Utilization Approval Rule:

To add a new approval rule for container utilization, you'll need to:

  1. Select an Equipment Type: Choose an equipment type (e.g., container).

  2. Set Minimum CBM: Specify the minimum cubic meter (CBM) value.

  3. Enable/Disable Rule: Toggle the "Allow" switch to enable or disable the rule.

  4. Meet Validation Criteria: Ensure that the selected equipment type doesn't have an active container utilization rule and that the minimum CBM value is valid (greater than zero if the rule is enabled).

Managing Existing Container Utilization Approval Rules:

  • Viewing Active Rules: The Container Utilization grid shows all currently active container utilization rules (Equipment, Allow, Min CBM).

  • Deleting Rules: If you have the necessary permissions, you can delete existing rules.

  • Updating Rules: You can modify existing rules by editing the minimum CBM value and the "Allow" switch, and then saving the changes.
