Creating a User Account (Extensiv)

Extensiv & 3PL Warehouse Manager Accounts

The following work instruction should be followed when giving a new user access to the Extensiv Hub and 3PL Warehouse Manager. For more information on the listed applications, review the Extensiv Introduction and/or 3PL Warehouse Manager Introduction.

Step 1: Open User List

On the Extensiv Hub, select the ‘User' menu option listed on the navigation bar.

Note, ensure the user is being created on the correct instance, in this work instruction the user is being created in the LAX instance.

 

 

 

 

Step 2: Create New User

Note, A users list will generate, you can search an existing user on this screen to remove a user from the Extensiv Hub or to check their current account status.

Click the ‘Create’ button to create the new user account.

 

Step 3: Invite User

The ‘Invite Users’ tab will open. The following information must be provided in order to successfully create and invite the user to Extensiv Hub.

  • First Name - Legal Name, do not enter nicknames.

  • Last Name - Legal Name, do not enter nicknames.

  • Email Address - SEKO Email Address preferred however, personal email address can be used as an alternative.

  • Job Title - For data integrity purposes, refrain from creating new/random job titles. Please review the ‘User Role’ chart for more information on standard “Job Titles''.

  • Role - If SEKO employee/temp the role must be set to ‘View Only. If client, the role must be set to ‘Customer User’. Users should NOT be given the 'System Admin’ role unless instructed or approved by IT Corporate.

Once all information is entered, click the ‘Invite’ button. This will send the user an invitation via email. The user will then need to setup/activate their account in order to access the Extensiv Hub and 3PL Warehouse Manager.

 

Step 4: Invite Confirmation

Once the ‘Invite’ button is selected, the ‘User List’ on the right-hand side of the screen will generate a ‘list' of the user that received the invitation. Click the 'Done’ button to close the page.

 

Step 5: Extensiv Account Status

The user list allows you to search the user account that was just created. If you’d like more information such as account status, reference the ‘Status’ column provided on the list.

  • Pending = Account has NOT been activated

  • Active = Account is activated and in use.

 

 

Step 6: Access/Visibility to 3PL Warehouse Manager

Now that the user has an Extensiv Hub account, proceed to give the user access and visibility to functions, warehouse(s) and clients. If this step is skipped, the user will not have visibility to any data on the 3PL Warehouse Manager.

In Extensiv Hub, on the top right corner, select the square icon and click ‘3PL Warehouse Manager’. This will open the 3PL Warehouse Manager application.

 

 

Step 7: Open User List via 3PL Warehouse Manager

In the 3PL Manager, select the ‘User' menu option listed on the navigation bar and click ‘Manage Users’.

 

Step 8: Locate User

A user list/report will be displayed. To quickly find the user, filter the list by their name or email address.

Select/highlight the user account and click the ‘Manage’ button, a drop-down list will appear, click ‘Edit’.

 

 

 

Step 9: Apply Access

The following information will need to be provided for access/visibility purposes. Users are not to be given the “System Admin Role”.

  • User Type - SEKO employee/temp or SEKO client?

  • Role - The role determines what functions and capabilities the user will be able to access or preform. View the ‘User Roles' chart for more information on roles. Note, Please do not configure an existing role or create a new role. The roles listed on the 'User Roles' chart are the only roles that should be assigned.

  • Classic View - For SEKO employees/temps, set this option to level2. For SEKO clients, set this option to cus6.

  • Assigned Warehouses - Assigne the warehouse(s) the user will need access to.

  • Assigned Client - This field is for client users only.

Once all information is provided and entered, click the ‘Save’ button.
