Origin Dashboard Task Tiles

I. Draft Shipments

Draft Shipments are Shipments that has been added but with incomplete details.

These are the Shipments created in the SHIPMENT ADD Menu or in the Booking List → Edit Shipment.

In the Dashboard, Click the “Draft Shipments” Task Tile to complete shipment details and submit for Client’s Approval.

Search Options

  1. Search Panel

  • You can select one or multiple options to refine your search

  • Type the Booking Ref/PO Number or Select Client, ETD/ETA, Transport Mode, Vessel, Status

  • Click SEARCH button

  1. Header Filter tool

  • Click Column Header → Filter

  • Select on the options or Type keywords to search.

  • Each column will have a different filer criteria. Utilize “contains” on filter which will not restrict the search

Grid Tools & Functions

  1. Click + icon to expand/collapse to show PO Line number details

  2. Click Bin icon to delete the draft Shipment

  3. Click pencil icon to Edit/update and complete Draft Shipments sections/tab

The Header Section Color shows your progress:

  • Green: This means details complete from Vendor Booking or you've finished that section and can move to the next

  • Grey: This means you still need to complete that section.

Section 1: Select Orders

  • This screen is used to select PO’s and/or PO Lines to add to the Shipment

  • Default PO Numbers selected are from the Vendor Booking.

To Select Order

  1. Use Search Panel to Filter PO List

  2. Click on the checkbox on the leftmost side of the grid to Select PO. You can select multiple POs.

  3. Click “Pick Purchase Order” button

Batch Purchase Order

This is a faster method of adding lines to a Shipment.

The Client will update the PO Line Customer Booking Ref when they upload the PO’s.

Entering the relevant ‘Customer Ref' in the screen below will bring up all PO’s / lines that can easily be added to the Shipment

Section 2: Assign Products

  • Default PO Details and Quantity shown are from the Vendor Booking.

  • The ‘Booked Qty’ is equal to the PO Qty by default.

  • ‘Booked Qty’ is the only editable field on this page. Click SAVE button if changes have been made

  • Confirm the PO Lines and Click NEXT button

  • To Delete PO Lines - Select checkbox and click “Delete selected Line” or Click “Delete All Lines” . PO Lines that are packed (with packed quantity) will not be deleted

  • Click NEXT button once all changes have been made

Section 3: Shipment Details

  • Fill up All missing Shipment details

  • Fields with asterisk * are Mandatory

  • Click “Save & Continue” to move to the next section

Section 4: Containers

  • Add Container Details

  • Click “ADD” and create another, if needed

  • Delete containers by clicking “Remove” button in the created containers section

  • Edit container details by clicking “Select” button in the created containers section

  • Click “Add & Continue” to move to the next section

Container number is required. If not known yet, you can type “TBC”

Section 5: Routing

Add Transport mode details

Add Vessel (Transport Mode: SEA)

  • Click “Add Vessel” Button

  • Search for the vessel

Type and select POL (vessel departing from) and POD (going to) and select the departing time frame

Make sure the departure date meets the handover date schedules

  • Select your vessel by clicking on the ‘+’ icon

  • Select the relevant vessel type/ Vessel Assignment (Mother / Feeder / Vessel Only)

Vessel Assignment

Mother and continue to Feeder- will assign mother vessel first, then, continue to Feeder Vessel assignment

Feeder and continue to Mother - will assign feeder first, then, continue to mother vessel assignment

Vessel Only - direct sailing without a feeder

 Vessel details are maintained in the Admin Menu (specific user permission)

If needed, Contact Admin to create new Vessel.

Add Trailer (Transport Mode: ROAD)

  • Click “Add Trailer” Button

  • Search for Trailer

Type and select “Trailer leaving from” and “going to” (Required)

You can also filter using departing time frame (select “within), select Carrier or Type Trailer name

  • Select your vessel by clicking on the ‘+’ icon

  • Confirm “OK”

 Trailer details are maintained in the Admin Menu (specific user permission)

If needed, Contact Admin to Create new Trailer.

Add Flight (Transport Mode: AIR)

  • Click “Add Flight” Button

  • Fill in Flight Details

Airline, Flight No., Departure Airport, Departure Date, Arrival Airport, Arrival Date

  • Click ADD button

  • Once Vessel/Trailer or Flight has been Added, You can edit by clicking “Remove” button in the Routing section page, then repeat steps above (Add New Vessel/Flight/Trailer)

Automatic Notification will be sent to Client when Origin Agent amends the Routing/Vessel details

Email Subject is “Shipment Routing

Section 6: Documents

  • Click “Upload Docs” button

  • Select Files to upload

  • Use the drop down to Select Applicable Document Type you are uploading

  • Click Upload Button

  • Repeat above steps until all documents are uploaded 

  • Click “Next" to move to the next section

  • You can EDIT,DELETE, VIEW uploaded documents

Section 7: Notes

Optional - Add notes to Client on the Quantity or booking you are submitting.

Please be aware that once a Note has been created, it cannot be amended or deleted.

Section 8: Review/Submit

  • Review All details

  • Click “Submit for Client Authorisation” button

  • Confirmation message will appear. Red text indicates details you need to review before submission

  • Click “Cancel” to revise/update

  • Click “OK” to submit to Client for Authorization/Approval

Automatic Notification will be sent to Client when a shipment is submitted by Origin

Email Subject is “Shipment Requiring Authorisation

II. Cancellation Requests

Shipments that the Vendor has requested for cancellation

  • Click “Cancellation Request” Task Tile to show the List of Request from Vendor

  • Use search Panel to filter Request

  • Click “Process” icon on the left side of the grid

  • Type in Cancellation Response

  • Click “Approve” or “Reject” button

Automatic Notification will be sent to Vendor/Supplier (email stated in the booking) when the Origin Agent approves/rejects the booking cancellation request

Email Subject is “Booking Cancellation Confirmation

Approved Cancellation Request will have a status “Cancelled”

Rejected Cancellation Request will go back to “Draft” status

III. Shipments Required Re-authorisation

List of Shipments that needs Amendments (Rejected by Client)

  • Click “Shipments Required Re-authorization” Task Tile to show the List of Shipments for Amend

  • Use search Panel to filter Shipment

  • Click “Edit” icon on the left side of the grid

  • Check all Shipment details and Amend details advised by Client

  • Review and Submit to Client for Approval

IV. Shipments Ready to be shipped

List of Shipments that have been Authorized to Ship.

Client has approved the order to be shipped (or after amendments have been made and approved)

  • Click “Shipments Ready to be Shipped” Task Tile to complete COB (Confirm on board) process

  • Use search Panel to filter Shipment

  • Confirm or Amend the Shipment

Confirm-On-Board

To Do section

  • Click the confirm icon image-20250109-140840.png to proceed COB process.

  • You will be directed to the "To Do" section/tab of the Shipment Details

  • Add/update Actual Handover Date and Shipping Line Book Date (required)

  • Select Invoice Currency (optional)

  • Click Save & Continue

Packing List Section

This section shows all the PO line items that are ready for packing (To Pack) and items already packed into containers ("Packed").

“To Pack” Tab 

  • Displays all PO line items that haven’t been packed to a container.

  • Use the Search filters at the top of the list or within the columns to find specific items.

  • By default, it shows items needing packing. To see all items, including those fully packed:

Select "Fully Packed" from the "PO Status" dropdown, then, Click "Search"

Packing Items into Containers

  1. Select Items:

    • Check the box next to the item.

    • OR enter the number of cartons in the "Cartons/Pcs" column.

    • OR enter the number of units in the "Shipped Qty" field ("Shipped Qty" defaults to "Booked Qty" (original order quantity)

    • Entering Cartons/Pcs or Shipped Qty will automatically check the box

    • Selected items will turn gray.

    • You can "OVERPACK" by entering a "Unit Qty" greater than "Booked Qty".

  2. Assign to Container:

    • Choose a container from the dropdown below the item list.

    • Click "Assign to Container".

    • One item line can only be assigned to one container.

  3. Quantity Updates:

    • After assigning, "Unit Qty" updates: Unit Qty = Booked Qty - Shipped Qty.

    • Fully packed items disappear from the "To Pack" tab.

    • Partially packed items remain in "To Pack"

  1. Splitting Orders (Multiple Containers):

    • A) Enter Cartons/Pcs, then enter Shipped Qty, and select a container to assign

    • B) Repeat step A for each container you want to split the order into until all quantities are assigned

 “Packed” Tab

  • Displays items that have been assigned to containers.

  • If an item was added to the same container in separate steps (e.g. the user assigned 100 units to container ABC, then the user assigned another 100 units to container ABC), it will be shown as a single combined entry (one record only).

  • If an item was added to a different container in separate steps , it will be shown as separate entries/records.

  • Use the Search filters or column filters to find specific packed items.

Unpacking Items from Containers

  1. Open "Packed" Tab:

    • Go to the "Packed" tab.

  2. Select Item:

    • Check the box next to the item you want to unpack.

    • The selected item will be highlighted.

    • The "Unassign from Container" button will become active.

  3. Unassign:

    • Click "Unassign from Container" button

    • The item will move back to the "To Pack" tab.

    • The unassigned quantity, will be returned to the total unit quantity of that item.

  • Required Fields:

    • Container tab: Gate In Date and Container type are required.

    • Packing List Tab: Shipped Quantity must be greater than 0.

 

Confirmation Section

  • Go to Confirmation Section/Tab

  • Check all sections to review and complete shipping information. 

If there are incomplete information, there will be a message in RED highlight what section/tabs need to be completed

If all tabs are Green, this means that all fields are complete and the shipment is ready to confirm on board.  Tabs in grey colors indicates incomplete details.

  • Click the Confirm button

Amendment

Click the the Amend icon image-20250109-141003.png to set the shipment back to “Amend” status for further changes.

or further changes and after changes has been made submit for client approvals.
